Department Overview
The Systemwide People Strategy, Talent, and Culture department provides people-centered leadership and expertise to advance the University of California's mission of teaching, research, and public service. Serving as a trusted partner to systemwide and location-based leaders, the department designs and delivers frameworks, policies, and initiatives that prioritize an inclusive employee experience while supporting organizational effectiveness. Its work spans developing and interpreting systemwide HR policies, leading culture and inclusion strategies for staff, and providing workforce planning, talent development, and organizational readiness strategies to align staff capabilities with long-term university goals. Within the People Strategy, Talent, and Culture department, the Executive Search and Recruitment unit manages recruitment for senior leadership roles for the Office of the President, ensuring high standards and supporting the cultivation of diverse leadership pipelines. Additionally, the team provides advisory support, consultation, and implementation of executive search and recruitment initiatives and programs across the UC system, ensuring best practices are applied consistently, professional standards are upheld, and all processes comply fully with applicable laws and UC policies.

Position Summary
The Executive Recruitment Analyst provides comprehensive support to the Systemwide Executive Search and Recruitment team and serves as the primary point of coordination for a broad range of administrative, logistical, and operational functions that underpin executive search activities and related systemwide initiatives. This position reports to the Senior Director, Systemwide Executive Search and Recruitment and ensures that executive recruitment processes are executed efficiently, consistently, and in full compliance with University policies, procedures, and regulatory requirements. The Executive Recruitment Analyst will work in an agile and flexible way playing a critical role coordinating workflows, managing complex scheduling and documentation, supporting search timelines, and facilitating communication among internal stakeholders and external partners. Through the delivery of high-quality operational support, the role enables the Executive Search and Recruitment team to advance strategic hiring priorities and successfully execute systemwide executive recruitment efforts. This position is eligible for a remote work arrangement within the state of California. The selected candidate must reside within the state of California or be willing to relocate.

Key Responsibilities

20% Complex meeting coordination involving the President's Executive Office, Regents Office, and senior campus and system leaders, as well as planning and execution of in-person and virtual search-related events, including logistics, venue preparation, technology setup, meal planning, and on-site facilitation of attendees.

20% Preparation of confidential search materials such as agendas, memos, reports, briefings, presentations, and executive summaries.

20% Provide support for advancement of several high-priority, time sensitive initiatives that directly support the executive recruitment function, including management of systemwide agreements with suppliers, ensuring compliance with reporting requirements, and maintaining team websites, tools, and resources.

15% Act as a primary administrative liaison to senior level executives and their teams, handling sensitive matters with professionalism, discretion, and confidentiality.

15% Support financial operations, including procurement, invoicing, and expense management processing, managing accounts receivable aging report and addressing any outstanding payments with UC's Business Resource Center and suppliers.

10% Ensure search related documentation and records are maintained in accordance with UC policies and guidelines.

Experience
Required Qualifications

Minimum five years of relevant experience in Executive Recruitment, Human Resources or Talent Acquisition setting in a project management, analysis, and/or executive support function.

Preferred Qualifications

Experience working in higher education.

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
