Job Description

Position Summary
The Administrative Operations Coordinator serves as the welcoming face and central operational hub of the NextGen Precision Health building. This role supports faculty, staff, visitors, and research partners by ensuring smooth front of house operations, accurate administrative processing, and well coordinated building services in a fast paced, research focused environment.

Key Responsibilities
Front Desk & Building Operations
* Serve as the primary point of contact for all visitors and patients entering the NextGen Precision Health building
* Greet, direct, and assist guests in a professional and service oriented manner
* Manage mailroom operations, including receiving, sorting, and distributing packages
* Coordinate shipping of research samples for faculty and staff, ensuring compliance with applicable requirements

Administrative & Financial Support
* Prepare and submit complex domestic and international travel reimbursements for employees and visiting speakers
* Submit OneCard transaction forms and calculate/distribute copier charges
* Procure supplies for the building and administrative team

Facilities, Space & Events Coordination
* Organize and track space assignments across the NextGen facility
* Assist with planning, coordinating, and supporting NextGen events
* Serve as a central administrative contact for event logistics and communication

General Operations & Common Areas
* Maintain shared spaces by stocking breakrooms, monitoring supplies, and coordinating basic upkeep
* Water plants and ensure common areas remain organized and welcoming

Shift

Monday - Friday, 8 am - 5 pm

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Preference will be given to candidate's with a Bachelor's degree and a Certified Administrative Professional (CAP) credential or Project Management Professional (PMP) credential.

Anticipated Hiring Range

Salary Range: $18.87 - $26.87 per hour

Grade: GGS 008
