SUMMARY: The Leave of Absence Administrator is responsible for managing and administering employee leave programs across the organization. This role ensures compliance with federal, state, and local regulations, as well as internal policies, while providing compassionate and efficient support to employees navigating leave situations.

ESSENTIAL FUNCTIONS:

This class specification lists the major duties and requirements of the job and is not all-inclusive. Incumbent(s) may be expected to perform job-related duties other than those contained in this document and may be required to have specific job-related knowledge and skills.

  • Administer all types of employee leaves including FMLA, ADA, parental, military, personal, and other statutory or company-sponsored leaves.
  • Serve as the primary point of contact for employees and managers regarding leave inquiries, eligibility, documentation, and status updates.
  • Ensure timely and accurate processing of leave requests, approvals, and extensions in accordance with applicable laws and company policies.
  • Maintain detailed and confidential records in HRIS and leave management systems.
  • Collaborate with HR, payroll, benefits, and legal teams to ensure seamless coordination of leave-related matters.
  • Monitor leave balances, return-to-work dates, and ensure proper communication throughout the leave lifecycle.
  • Provide guidance and education to employees and managers on leave policies and procedures.
  • Stay current on changes in leave of absence legislation and recommend updates to internal policies as needed.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Bachelor's degree in human resources, Business Administration, or related field (or a combination of equivalent experience). 2+ years of experience in leave administration, HR operations, or employee relations. Strong knowledge of FMLA, ADA, and other relevant employment laws. Excellent communication, organizational, and problem-solving skills. Proficiency in HRIS systems and Microsoft Office Suite. Ability to handle sensitive information with discretion and professionalism.

Required Certificates, Licenses, and Registrations:

Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

Required Knowledge and Skills

Required Knowledge:

  • Experience with leave management platforms (Workday, Outlook, Microsoft Office etc.)
  • Certification in HR (e.g., PHR, SHRM-CP) is a plus.
  • Vendor relationship.
  • Administrative principles and practices, including strategic planning, program development and implementation.
  • Computer applications related to work, especially Microsoft Office.
  • Techniques for dealing with a variety of individuals, in person and over the telephone.
  • Correct business English, including spelling, grammar, and punctuation.
