The Division of Environmental Health and Public Safety (
EHPS) leads prevention, safety and security, emergency management and transportation operations across the university, working with all university units and external partners to address risks and to promote preparedness and safety across the NC State community. The division manages safety protocols, inspections and training for safe and compliant receipt, use and disposal of biochemical materials, hazardous materials and radioactive materials; and oversees implementation of a Broad Scope License for use of radioactive material and x-ray equipment at a veterinary hospital and
PULSTAR nuclear reactor. The division manages a sworn police force of 60 officers accredited by three agencies, 911 call center and emergency response teams (fire and life safety). Emergency preparedness, crisis management and large campus events are managed by the division, as are on-campus road closures and detours, bus lines serving more than 20,000 passengers per day, parking permits and 20,000 parking spaces including nine parking decks. Violence prevention and threat management, and protocols and compliance requirements for minors on campus programs, are managed by the division. Additionally, the division manages an integrated network of security technologies, such as video, door access, security stanchions and alert alarms; and facilitates the university's Security Master Plan. Six departments comprise the
EHPS division, employing 200 professionals responsible for environmental health services, public safety and transportation operations at NC State:

The Division of University Real Estate and Development is responsible for all university real estate
activities, strengthening the mission of NC State through stewardship of land resources in a strategic manner in support of NC State's strategic goals and initiatives. The division oversees all aspects of realestate activities for NC State, including acquisition, disposition, leasing services, land and property management and public-private real estate partnerships. The division is also responsible for placemaking on NC State's Centennial Campus through the creation of opportunities for engagement of faculty, staff, students, industry partners and the general public in social, recreational and intellectual areas of interest. The Division is responsible for developing and oversight of policies associated with NC State's real estate assets and public private partnerships between the university and its external partners. The division also oversees acquisitions and dispositions and monetization and management of foundation properties, and the development of policies and best practices associated with gifts of real estate to the university endowment and associated entities. The division coordinates with other university leaders in the physical and financial development and management of real estate assets, and frequently interacts with the Associate Vice Chancellor for Facilities, Office of General Counsel, and University Treasurer. The division is responsible for strategic and tactical analysis of campus, local, regional and national markets,and NC State strategy related to these markets; and is responsible for developing external relationships with key political and community officials in matters of real estate and serving as the key NC State spokesperson for all real estate. | Essential Job Duties |
The Special Assistant (SA) serves as the trusted strategic partner and "right hand" to the Senior Associate Vice Chancellor (
SAVC). Operating at the center of the Division, this highly visible role ensures the
SAVC and leadership team are positioned for maximum effectiveness.
This position manages the complex flow of information, priorities, and stakeholders that shape divisional strategy and operations. The SA leads high-priority initiatives, advances strategic planning and reporting efforts, coordinates executive communications, and strengthens cross-functional collaboration and operational processes. Serving as a connector across departments, the SA initiatives move forward efficiently, and leadership is equipped with clear, actionable insights to support informed decision-making.
Key Responsibilities:
Executive Partnership & Strategic Leadership:
- Serve as a strategic advisor and collaborative thought partner to the SAVC.
- Participate as a member of the SAVC's leadership team.
- Act as a primary liaison for university stakeholders and external partners engaging with the SAVC's office.
- Provide sound judgment and discretion on sensitive and high-profile matters.
- Completes work with a high level of detail-orientation and of exceptional quality.
- Maintains a steady, solution-oriented approach to operations in a fast-paced environment.
Strategic Initiatives & Project Management:
- Lead and coordinate high-priority and special projects requiring SAVC engagement.
- Partner with directors and senior leaders to track multi-unit initiatives and ensure accountability.
- Identify operational bottlenecks and support solutions that advance divisional priorities.
- Oversee logistics for divisional programs and strategic initiatives to ensure professional, timely execution.
Strategic Planning, Reporting & Compliance:
- Support alignment of divisional initiatives with the university's strategic plan.
- Lead development of the Division's annual report and administrative assessment processes.
- Coordinate division-level Policy, Regulation, and Rule (PRR) processes and integration into departmental procedures.
- Gather and synthesize updates from direct reports, identifying trends, risks, and key issues for executive attention.
Division Communications Initiatives:
- Draft and edit executive correspondence, briefing materials, reports, and presentations.
- Contribute to strategic communications and marketing initiatives across the Division.
- Draft and distribute the monthly Division-side newsletter (the Pulse), with a focus on employee engagement and culture enhancement in the Divison.Oversee website content and ensure alignment with university brand standards and messaging guidelines.
- Develop visual materials and executive-level presentations for key audiences.
Operational Oversight & Organizational Engagement:
- Strategically manage and prioritize the SAVC's calendar and commitments.
- Coordinate executive correspondence and document workflows, including signature routing and approvals.
- Maintain organized filing systems to support institutional continuity.
- Lead divisional employee recognition initiatives and coordinate division-wide meetings and engagement events.

Qualifications
| Minimum Education and Experience |
High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
| Other Required Qualifications |
- Five (5) years of experience as an administrative professional or operational manager in a fast-paced operational setting.
- Demonstrated ability to manage complex, high-visibility initiatives in a fast-paced environment.
