Qualifications

POSITION SUMMARY

The Nursing Staff Coordinator (Staffing Coordinator) is responsible for keeping all the hospital units fully staffed, in order for personnel to properly care for the patients within the facility. The Staffing Coordinator manages the shift master scheduling software system, adjusting appropriately the staffing levels based on census fluctuations, call-ins and pre-planned leaves of absences to ensure adequate coverage for all shifts. This position is a key contributor and a member of the Nursing Management Team, and reports directly to the Director of Nursing.

QUALIFICATIONS

Education: High School diploma of GED required. Bachelor's Degree in Business or related field preferred.

Experience: Preferably a minimum of two (2) years' experience in hospital with staffing/scheduling responsibilities for all shifts for clinical and nursing personnel; will consider business office and/or human resources experience, preferably in a health care setting; or any combination of education, training or experience in a hospital business office.

Licensure: Must maintain a valid driver's license in the applicable state.

Additional Requirements: Successful completion of CPR and CPI (Crisis Prevention Intervention) training. May be required to work overtime and flexible hours.

PRIMARY RESPONSIBILITIES

  1. Provide daily staffing of RN's, LVN's and MHT's.
  2. Responsible for maintaining business rules, administering shifts and approving shift assignments in Shift Hound - the nurse scheduling software program.
  3. Assists purchasing agent for patient care services and supplies.
  4. Process PTO requests and ensure coverage for employees taking PTO.
  5. Fill staffing vacancies in advance to ensure adequate coverage for all shifts.
  6. Communicate with CEO, CFO, DON and all House Supervisors regarding floor orientation scheduling for newly hired employees in the nursing department.
  7. Utilize sound judgment to determine the authorization and use of temporary staffing agencies.
  8. Actively participates and directs the training and onboarding of new employees as it relates to the scheduling process.
  9. Counsels current employees on the process of scheduling time off and requests for transfers.
  10. Produces and maintains daily staffing reports, which includes verifying work hours, requested time off, as well as job vacancies.
  11. Partners with Payroll on a routine basis to ensure payroll is disbursed accurately.
  12. Works closely with HR on a variety of issues, which include assisting in the orientation of new employees, briefing employees on the requirements of work shifts and hours, as well as training new employees on systems or programs used to report work hours.
  13. Actively participates in management meetings to discuss staffing issues.
  14. Utilizes the Shift Hound computer software system to update and maintain the master schedule.
  15. Processes call ins/absences and ensure coverage.
  16. Produce daily staffing sheets and store past daily sheets.
  17. Prepare daily staffing FTE report for CEO, CFO, and DON.
  18. Review time sheets daily and make corrections as needed for Payroll.
  19. Review staffing with DON to ensure adherence to staffing grid and safety.
  20. Provide monthly "nursing agency" usage reports to CFO.
  21. Maintain up to date and accurate nursing staff phone lists.
  22. Maintain supply order for nursing department.
  23. Ability to answer needs off-hours.
  24. Assist HR with notifications to nursing staff with regard to licensure and certification compliance.
  25. Assist on units if acuity level is high.
  26. Assist with emergency Codes as necessary.

  7. Ability to lift and carry up to 25 pounds dead weight to move transfer file boxes, data processing paper and newly admitted patients' belongings.
  8. Ability to retrieve files from bottom shelves and drawers and the ability to move boxes of paper and forms to the computer printer (done up to 15 times daily).
  9. Ability to reach, turn and twist above and below the waist daily to retrieve files from top shelves to get office supplies from upper shelves in supply closet (done up to 20 times per day).
  10. Ability to stand and walk daily to retrieve forms/supplies for other departments.
  11. Ability to hear and speak well enough to answer and communicate on the facility switchboard, if required to do so.
  12. Ability to spend 10% of working time outside in temperature varying from -0oF to 110oF.
  13. Ability to spend 90% working time in environment of continuous moderate voices and office machine noise typical for business office atmosphere.
  14. Ability to handle a variety of repetitive tasks.
