About the Job

Outreach, Communications & Event Management (55%)
Academic Programming & Logistics: Collaborates with internal stakeholders to set the academic agenda for seminar series and "Tiny Talks". Manages end-to-end execution, including speaker travel, catering, and on-site setup.

Public Presence & Autonomy: Serves as the primary liaison for neighborhood residents and external visitors. Acts independently to resolve community concerns and represents the lab at external University functions and vendor meetings-typically without a supervisor present.

Digital Stewardship: Oversees the SAFL website content to engage audiences with research updates. Coordinates with the Digital Conservancy to preserve and promote faculty publications.

Archival Management: Leads the strategic withdrawal from the Iron Mountain storage contract by auditing, retrieving, and purging long-term materials.

2. Supply Chain, Logistics & Budgeting (25%)
Financial Oversight: Oversees program budgets that have been set aside for events and cooperates with leadership on future budget development.

Procurement & Vendor Relations: Negotiates with vendors to secure pricing for research materials. Resolves conflicts between vendor contracts and safety compliance by collaborating with the Safety Officer or identifying alternative vendors.

Shipping & Freight: Manages complex freight operations, including the assembly and packing of large-scale equipment on pallets. Oversees daily mail distribution for all lab personnel.

3. Facilities & Safety Coordination (20%)
Safety Compliance & Analysis: Tracks required safety training for staff and students to ensure institutional compliance. Beyond tracking, this role collaborates with leadership and analyzes their research to make formal safety training recommendations.

Access & Space Management: Manages departmental building access and key distribution per University security protocols. Manages large-scale office moves and biannual space surveys to accommodate increased headcount.

Qualifications

Required Qualifications
Education/Experience: BA/BS degree or a combination of related education and work experience to equal four years.

Preferred Qualifications:
- Experience working in a research environment.
- Skilled in end-to-end event lifecycle management, including speaker travel, venue coordination, etc.
- Comfortable with Drupal, Google Docs, and Microsoft Office
- Strong oral and written communication skills
