How you make a difference in this role:

This role owns the operational backbone of the team. By managing distribution systems, production calendars, tracking tools, inboxes, and documentation the communications staff can focus on strategy, messaging, and execution.

Job Overview:

The Communications Operations Manager ensures the systems, logistics, and infrastructure that power the Communications team run smoothly and efficiently. Strong communications require strong operations. We are looking for a highly organized, systems-minded individual that takes pride in building structure behind great work. This role plays a critical part in maintaining consistency, accessibility, and responsiveness across the agency's communication efforts.

Key Responsibilities:

Operational Systems & Infrastructure:

  • Manage and maintain communications distribution lists.
  • Oversee newsletter production calendars and logistics, including Engagement, Operational Updates, and agency-wide newsletters.
  • Maintain communications archives, templates, and process documentation.

Provide ADA support for communications materials:

  • Workflow & Tracking:
  • Maintain school visit logistics tracker.
  • Support maintenance of the communications planner board in coordination with the Assistant Director of Communications.
  • Ensure documentation and processes are current, organized, and accessible

Inbox & Intake Management:

  • Manage the Commissioners inbox in coordination with leadership.
  • Oversee the agency communications inbox.
  • Manage the department phone line and ensure timely routing of inquiries.

Reporting & Analytics:

  • Support communications analytics reporting.
  • Assist in gathering and organizing engagement data to inform strategy.

Minimum Qualifications:

Minimum Required Qualifications: Bachelor's degree and 3+ years of full-time professional staff administrative experience

Preferred Qualifications: Public Administration, Business, or related field 1-3 years of experience in operations, communications support, or administrative coordination

  • Strong organizational and time management skills
  • Experience managing calendars, trackers, or production schedules
  • Comfort working across multiple systems and tools
  • High attention to detail and follow-through
  • Ability to manage confidential or sensitive information with discretion
