Job Summary

The conference services supervisor has the responsibility for all the functions related to conference services to ensure that UC Davis Health campus meeting spaces within scope are efficiently reserved, maintained, prepared, and equipped for the campus users. The scope of conference services is over 50 conference rooms within over 10 buildings including future growth. The supervisor provides direct supervision to skilled technical employees providing administrative support, work assignments, training, performance management, and work evaluation daily. The supervisor is responsible for audio/visual support and equipment inventory maintenance. Functions as an independent advisor and collaborator to departments and leadership for function space use, planning, maintenance, and associated equipment needs. Analyzes and resolves problems, interprets policies as they apply to conference services functions and staff. Demonstrates solid subject matter knowledge related to conference service operations and equipment. Exercises judgment within defined procedures and policies to determine appropriate action. Supervises staff to assure accountability and stewardship of department resources (operational, financial, and human) in compliance with departmental goals and objectives. Collaborates with department manager as needed to resolve issues, exchange information and for effective planning. Completes administrative functions for conference services unit including the maintenance of systems used to manage conference services activities.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Required to hold a valid California driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
  • Bachelor's degree in related area and/or equivalent experience and training.
  • Experience supervising staff with direct responsibility for performance management and personnel policy adherence.
  • Experience supervising conference services including room reservation management, using appropriate software tools and equipment, and overall maintenance of conference rooms.
  • Experience managing a budget with accountability, fund management and fiscal planning.
  • Solid knowledge of conference room equipment including wired and wireless sound equipment, projectors, displays and control equipment and software to integrate, maintain and repair, and use them for the purposes intended.
  • Ability to learn the organization's process, protocol, and procedures and to apply these to thedepartment functions.
  • Solid knowledge of common software applications.
  • Ability to learn organization-specific software applications.
  • Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, and ability to advise, counsel and effectively motivate others.
  • Must communicate with tact and diplomacy.
  • Solid skills to quickly evaluate complex issues and identify resolution.
  • Solid organizational and customer service skills to effectively manage multiple priorities.
  • Solid knowledge of financial analysis and reporting techniques; human resource and risk management planning; accounting and payroll. Demonstrated skills in employee supervision and HR administration.

Preferred Qualifications

  • Ability to follow all University, UC Davis Health and Department policies and procedures as well as policy from governing agencies.

Work Environment
