Overview

Illinois CancerCare is seeking a full-time Imaging Chart Prep Specialist to join our team! The Imaging Chart Prep Specialist is responsible for preparing patient charts and documentation prior to imaging examinations to ensure accuracy, completeness, and readiness for radiology technologists. This role supports efficient workflow, regulatory compliance, and high-quality patient care by verifying orders, organizing imaging records, and coordinating necessary documentation within the imaging department.

Responsibilities

What You'll Do

  • Review and prepare patient imaging charts prior to scheduled appointments
  • Verify imaging orders for accuracy, completeness, and correct exam type
  • Ensure required documentation is present (orders, progress notes, prior reports, authorizations, and relevant history)
  • Upload and organize imaging and clinical documents in the electronic medical record (EMR)
  • Cross-check patient exam details and scheduling information
  • Identify and resolve missing or incomplete information by coordinating with providers, nursing staff, or scheduling teams
  • Flag charts that are not exam-ready and take appropriate corrective action
  • Maintain compliance with HIPAA, departmental policies, and radiology regulations
  • Support radiology technologists by ensuring charts are exam-ready before patient arrival
  • Prioritize workload to meet appointment deadlines and department goals
  • Perform other clerical or support duties as assigned within the imaging department
  • Report to the work area on time and remain available throughout the workday.
  • Work additional hours when requested.
  • Maintain patient confidentiality.
  • Performs clinical and clerical-related responsibilities as requested or directed.
  • Communicates with internal and external customers in a courteous, helpful manner.
  • Adhere to the ILCC employee handbook, facility, and department policies and procedures, and observe HIPAA and OSHA.
  • Performs all other duties as assigned.

Qualifications

What We're Looking For

  • High school diploma or equivalent
  • Previous experience in a medical office setting preferred such as Medical Records and/or Imaging Clerical
