Your Opportunity + Impact

The Billing Coordinator plays a vital role in supporting the financial health of the organization by ensuring accurate, timely, and well-coordinated client invoicing. This is an excellent opportunity for a detail-oriented professional who enjoys working collaboratively, staying organized, and contributing to the success of projects from behind the scenes.
In this role, you'll partner with project managers, architects, and accounting professionals to help deliver seamless billing experience for clients while maintaining strong financial accuracy and integrity.

Key Responsibilities

  • Prepares and distributes accurate client invoices in alignment with project milestones, timelines, and contractual requirements.
  • Reviews project contracts, proposals, and budgets to ensure billing accuracy, consistency, and compliance.
  • Tracks project progress, costs, and expenses to support timely and precise billing.
  • Collaborates with project managers, architects, and internal teams to gather necessary documentation and ensure smooth billing workflows.
  • Proactively identifies, investigates, and resolves billing discrepancies or client concerns in a timely and professional manner.
  • Communicates clearly and professionally with clients regarding invoices, payment status, and billing inquiries.
  • Maintains organized, accurate, and confidential financial and billing records.
  • Supports month-end and year-end close processes by assisting with reporting and reconciliation activities.
  • Partners with the accounting team to reconcile accounts receivable and ensure financial data accuracy.
  • Stays informed on billing practices, compliance requirements, and industry standards to support continuous improvement.
Education and Experience
  • Education: Bachelor's degree in Accounting, Finance, Business Administration, or related field, preferred or relevant experience.
  • Experience: Minimum of two (2) years' experience in billing, accounting, or financial administration. Experience in the A/E industry, preferred.
  • Licensure/Certification: n/a
Preferred Qualifications
  • Demonstrates a strong desire to expand knowledge and take on new responsibilities within the field.
  • Proficient in accounting related software programs.
  • Proficient in Microsoft Office Suite (Excel, Word, Power Point, Outlook).
  • Excellent organizational and time management skills to handle multiple tasks and meet deadlines effectively.
  • Strong oral and written communication skills, with the ability to work independently as well as collaboratively within a team.
  • Demonstrates attention to detail and accuracy in financial recording and reporting.
