Pay Range: $85,000 - $90,000

Summary:
The Executive Assistant is responsible for managing the day-to-day operations and providing administrative support for the Executive Director of San Francisco Towers. Duties include the discrete handling of confidential and sensitive information, scheduling meetings, managing expenses, handling travel, preparing presentation decks, reports, and correspondence, invoicing, and budget reconciliation etc.

Essential Functions:

  • Provide high-level administrative support to the executive, including managing calendars, scheduling meetings, making arrangements for conferences, and organizing travel arrangements.
  • Compile financial and/or operational data from multiple sources to assist management in preparing and monitoring budgets, workforce planning, and/or other department reports, and may prepare summaries of information or data.
  • Handle confidential and sensitive information with discretion.
  • Conduct research and gather information for the executive's use.
  • Manage and prioritize multiple tasks and deadlines in a fast-paced environment.
  • Format, type, and edit correspondence, documents, memos, reports, meeting minutes, and/or presentation materials.
  • Coordinate and manage special projects, events, and initiatives.
  • May assist with personal tasks and errands as needed.
  • May supervise employees who work as administrative support, including the Reception desk.
  • Perform all other related duties as assigned.

Competencies and skills:
Essential:

  • Effective oral and written communication skills appropriate to the audience's needs.
  • Ability to develop and deliver effective presentations live via online or virtual mediums.
  • Excellent collaboration and team-building skills.
  • Effective conflict management skills.
  • Ability to effectively build relationships with customers and executive management.

Education with Equivalent Qualifications:

Essential:
* Associate's degree or 2 Years 2 years of related experience and/or training
Nonessential:
* Bachelor's Degree

Experience with Equivalent Qualifications:
Essential:
* 5 years related experience and/or training with progressively more responsibility in support of a mid-level executive
