Primary Function of Organizational Unit
The purpose of the University Registrar is responsible for maintaining the integrity of all student academic records, admissions, and registration information. Inherent in that function is the responsibility of disseminating information from those records as needed but within compliance guidelines established both by law (such as the Buckley Amendment, FERPA - Family Educational Rights and Privacy Act) and by University policy.
Primary Purpose of Position
The University Registrar is a senior administrative officer responsible for managing all facets of student records, registration, academic scheduling, and policy compliance. They ensure the integrity of academic data, oversee graduation, enforce institutional policies, and manage student information systems. This position reports to the Associate Vice Chancellor for Enrollment Management and is responsible for assisting with overall management of records and registration activities for students and alumni. The University Registrar serves on a variety of campus committees including the Academic Planning, Commencement, University Undergraduate Council, and Enrollment Management.
Required Knowledge, Skills, and Abilities

  • Proficient knowledge of computerized data management systems and micro-computing systems including Banner and the ability to continually adapt technology to enhance services
  • Strong understanding of best practices in student registration and records, and understands the role of the Registrar in strategic enrollment management and student success
  • Knowledge of trends, issues, and accepted practices relevant to the position
  • Strong analytical, organizational and problem-solving skills, as well as excellent interpersonal and communication skills
  • Detail-oriented and customer service and compliance-focused
  • Proven record of accountability and follow-through
  • Keen knowledge of contemporary higher education registrar functions;
  • Demonstrated creative problem solving skills;
  • Skilled in budgetary and personnel administration;
  • Ability to effectively communicate with leadership, students, staff, community and constituencies in a diverse community.

Minimum Education/Experience
Master's Degree with at least 10 years of progressive management in higher education, leadership and supervisory experience.

Primary Responsibilities and Duties


Function Administrative
Describe the specific tasks and responsibilities related to the function.

  • Oversee the implementation and effective use of systems for student information, degree audit and other systems.
  • Monitors academic progress of all students via graduation audits and other systemic methods
  • Coordinate graduation ceremonies, including degree clearance and diploma production.
  • Direct the course registration process, manage classroom assignments, and develop the university's academic calendar.
  • Responsible for the accuracy and security of academic records, the registration process, verification of enrollment/graduation, transfer evaluation and articulation agreements, class scheduling, enforcement of academic policies and publication of the Course Schedule each semester.



Function Coordination - Operations
Describe the specific tasks and responsibilities related to the function.

  • Oversees the management of policies, processes, and operations of the Registrar's Office to provide leadership, innovation, vision and accountability for the management of all records, registration policies, and services that support student success.
  • Ensure adherence to federal and state regulations (e.g., FERPA) and interpret academic policies for faculty, staff, and students.
  • Enforce academic policies, degree requirements and verify student eligibility for graduation.
  • Certifying eligibility of student-athletes on the University's NCAA Division II intercollegiate athletics teams; processing Veterans Benefits; implementing all university policies and curriculum changes



Function Data/Information Analysis/Management
Describe the specific tasks and responsibilities related to the function.

  • Manages and analyzes statistical data on registration and academic records.
  • Directs preparation of statistical reports on educational activities for government and educational agencies; and interprets registration policies for faculty and staff and students
  • Monitors and verifies student enrollment data essential for official internal and external reporting related to academic and student records, including the National Student Clearinghouse, auditors, and accreditors, as needed
  • Verify that students have met all degree requirements and coordinate the conferral of degrees and production of diplomas.
  • Maintain, archive, and protect the confidentiality of student transcripts and records, adhering to regulations like FERPA.



Function Leadership and Collaboration

  • Supervises, trains, manages, evaluates, and develops staff within the office
  • Exceptional attention to detail, strong ethical standards and possess the ability to communicate complex policies to leadership.
  • Act collaboratively with the academic community in the development and effective implementation of academic policies and procedures, curriculum and other areas of Registrar responsibilities.
  • Coordinates University registration events (in-person and virtual) in collaboration with Academic Advising, Financial Aid, Student Accounting, Residential Life, and other departments across campus
