Position Title: Temporary Facility Assistant

About this opportunity: The E.B. and Bertha C. Ball Center offers noncredit personal enrichment programs to the community. Housed in a historic Ball Brothers mansion along Minnetrista Boulevard, the Center has been serving the community since 1977. Candidates for searches must have current authorization to be employed in the US without employer sponsorship.
What you'll do and what you'll bring: Position Description: This position will assist with the operations of the Center on a part-time basis.Includes assisting with program and event registration and management. Hours will vary and will include some evening and weekends.
Job Duties:
Assist with the Center's special events and classes, primarily held during the evenings. Includes room set-up/tear-down, greeting guests, providing refreshments, collecting payments, open, close, and/or secure the facility the day of the event. Assist the Associate Director with the historic preservation and maintenance activities of the physical building. Includes working with Facilities Planning and Management to submit work orders and ensure repairs are completed as scheduled; coordinating and communicating custodial needs with the Center's custodian; and assisting with polishing the wood, sweeping the floors, dusting, and other cleaning to maintain the house. Assist with the Holiday Open House. Includes decorating and un-decorating the house for the holiday season; scheduling movers to set-up large trees; coordinating with Minnetrista staff; identifying and communicating with volunteers; and greeting guests during the event. Assist with processing class registrations. Includes entering information into database, sending confirmation and reminder emails, sending class lists to instructors, adding new patrons to mailing list. Assist with general accounting duties such as invoicing, paying bills, preparing deposits, reconciling credit card statements, etc. Assist with conducting tours for specific groups as needed, which requires a comprehensive knowledge of the Ball Family, Ball State University, and the houses along Minnetrista Boulevard. Assist with general office duties, such a responding to emails in the department email account, assisting with mailings, making name tags, etc. Perform other related duties as assigned.
Minimum Qualifications:
Over eighteen months of education or training beyond high school, or equivalent combination of education and experience. At least one year of experience working in an office setting. Experience with Microsoft Office Word and Excel Ability to work a flexible weekly schedule, which will include evening and weekend hours. Position also requires the ability to lift up to 50 pounds and move tables and chairs as part of room set-ups. Excellent written and oral communication: organizational skills; detail oriented.
