At Interstates, operational excellence starts with strong support behind the scenes. We're looking for an organized, proactive, and detail-oriented Administrative Specialist to support our Operational Excellence team.

In this role, you'll help keep schedules, meetings, projects, and communications running smoothly so teams can stay focused on delivering meaningful results. This position is ideal for someone who enjoys creating order, anticipating needs, and helping others succeed through strong coordination and follow-through.

What You'll Do

As an Administrative Specialist, you'll play a key role in supporting leaders and teams by:



  • Managing calendars and schedules, including coordinating meetings, preparing agendas, and ensuring the right materials are ready in advance
  • Supporting meetings and events through note-taking, tracking action items, coordinating logistics, and following up on next steps
  • Creating and formatting presentations, reports, and professional documents for leadership and team initiatives
  • Coordinating travel arrangements and expense reporting, including flights, hotels, conference registrations, and reimbursements
  • Assisting with projects and departmental initiatives to help priorities stay organized and on track
  • Supporting communication efforts by proofreading documents, monitoring inboxes when needed, and helping information flow clearly and efficiently
  • Anticipating needs proactively to ensure meetings, events, and projects are prepared ahead of time
  • Helping maintain organization and continuity across multiple priorities in a fast-paced environment

What We're Looking For



  • Experience: 2+ years in an administrative, executive assistant, or office support role
  • Skills: Strong organization, attention to detail, and proficiency in Microsoft Office Suite of tools
  • Communication: Professional written and verbal communication, with the ability to proofread, draft, and correspond on behalf of leaders
  • Adaptability: Comfortable managing shifting priorities, handling multiple requests, and staying composed in a fast-paced environment
  • Work style: A collaborative approach with the ability to work independently, stay ahead of needs, and follow through on details


Location: This is an in-office position based in our Sioux Center, IA or Sioux Falls, SD office.

Travel:This role may require occasional travel based on business needs, up to 10%.
