Administrative Coordinator Job Responsibilities:

Inova Medical House Calls is seeking a highly organized and detail-oriented Administrative Coordinator to support our growing program that delivers primary care services directly to the homes of adults age 65 and older who are unable to travel to traditional medical appointments.

Our interdisciplinary team of physicians, nurses, social workers, and support staff is dedicated to helping patients age safely in place while receiving high-quality, compassionate care. This role is ideal for someone who enjoys working behind the scenes to keep operations running smoothly, thrives in a fast-paced environment, and takes pride in providing exceptional service to patients and colleagues alike.

Key Responsibilities

  • Coordinate new patient admissions and onboarding processes
  • Send admission packets, consent forms, release of information documents, and other required paperwork to patients and families
  • Process and distribute discharge letters and related documentation
  • Maintain accurate patient and program records in accordance with organizational guidelines
  • Assist with scheduling, meeting coordination, and special events
  • Prepare correspondence, reports, presentations, spreadsheets, and other administrative documents
  • Track and maintain confidential records and files
  • Support departmental budget and invoice processing activities as assigned
  • Coordinate communication between patients, caregivers, providers, and internal departments
  • Assist with staff recognition efforts, including Sunshine Cards and other team engagement activities
  • Provide administrative support to physicians, nurses, social workers, and leadership team members
  • Ensure timely completion of documentation and follow-up activities across a large service area spanning more than 50 zip codes
  • Support process improvement initiatives and maintain efficient office operations
  • Assist with calendar management and scheduling
  • Exceptional organizational and time-management skills
  • Strong attention to detail and ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Professional, patient, and customer-service-oriented demeanor
  • Ability to work independently and collaboratively within a team environment
  • Proficiency with Microsoft Office applications, particularly Word, Excel, and Outlook
  • Strong problem-solving skills and a high level of accountability
  • Comfortable working in a high-volume, fast-paced healthcare setting
  • Reliable, adaptable, and eager to learn
  • Perform additional administrative duties as assigned

Minimum Qualifications:

  • Education: High School Diploma or GED
  • Experience: 1 year of relevant office or healthcare experience

Preferred Qualifications

  • Previous administrative, healthcare, customer service, or office support experience
  • Experience handling confidential information and documentation
  • Familiarity with healthcare operations or patient-facing administrative processes is a plus
