Overview
Apogee has an exciting new opportunity for a Junior Administrative Assistant supporting the NC3 Contract. Selected incumbent will provide administrative, analytical, and program support to senior managers and organizational staff. Perform research, prepare concise written communications, coordinate program events and meetings (physical and virtual), maintain scheduling and conferencing equipment documentation, and support travel planning and CBA/DTS reconciliation within permitted contractor authorities. This is a full time role at Peterson SFB, Colorado Springs, CO.
Responsibilities
Provide staff support to senior managers and organization personnel, performing increasing levels of responsibility in analysis, procedural competency, and process-improvement recommendations.
- Research and compile information on assigned projects/topics; synthesize findings into clear, factual briefings and written products.
- Prepare factual, clear, concise, complete, and coordinated written communications and draft documents for leadership approval/signature.
- Keep leadership informed of issues related to the Directorate's mission; monitor progress on assigned taskings, initiatives, and action items.
- Coordinate and support program events: supply background materials, prepare and distribute invitations, gather participant information, and provide logistical support.
- Plan, schedule, and support a variety of meetings and conferences (in-person and virtual): manage invites, agendas, setup, A/V and platform configuration, and run-of-show as needed.
- Document meetings and ensure records are filed per organizational policy (attendance logs, minutes, action items, assignment of action officers).
- Maintain scheduling documents and maintain logs/instructions for video and online conferencing equipment and execution.
- Provide travel planning and execution support; perform CBA reconciliation tasks at assigned permission level when authorized (contractor personnel may be appointed as a Non-Defense Travel Service (NDEA) entry agent and can be assigned permission level 4 for CBA reconciliation, but may not certify/approve CBA invoices).
Qualifications
Minimum Experience: Citizenship: Must be a US citizen Clearance: Must have and be able to maintain a Secret clearance Education: HS Diploma Years of Experience: Minimum 3 years' experience providing administrative support to senior staff or program offices; experience supporting executive-level meetings, event planning, or program coordination. Additional Experience:
- Prior experience on DoD or other federal contracts preferred
- Familiarity with the Defense Travel System (DTS) processes and commercial travel card (CBA) reconciliation procedures a plus
Additional Information: Location: Peterson SFB, Colorado Springs, CO Travel: Up to 10%, occasional travel based on program needs
Pay Range
USD $50,000.00 - USD $58,000.00 /Yr.
