The Extension Department at West Virginia University is currently accepting applications for a WVU Extension Administrative Assistant located in Cabell County.

About the Opportunity

The administrative assistant for the WVU Extension Office in Cabell County, WV, will be responsible for general office management and assisting the 4-H Youth and Development Agent. Will oversee the daily operations of the office and collaborates on youth development programs as needed.

What You'll Do

  • Office Management
    • Receives and greets visitors to office area and directs visitors to the appropriate staff member.
    • Answers telephone, screens calls, and communicates messages to appropriate staff members.
    • Takes minutes of all staff meetings. Distribute to staff for corrections or changes.
    • Schedules and supports meetings and appointments as assigned by supervisor.
    • Assists with editing and mailing of program newsletters and other publications.
    • Collects incoming mail and organizes outgoing mail.
    • Conducts data entry work; this includes, but is not limited to, camp registration materials and 4-H member enrollment forms for the online registration reporting system.
    • Maintains and monitors office supplies and inventory.
    • Opens & maintains office hours from 8:00 a.m. - 4:00 p.m. Monday - Friday
    • Other office duties as assigned
  • Technology Support
    • Oversees maintenance and updates of office machines and equipment.
    • Serves as technology contact and liaison between Cabell County Extension Office and WVU's Office of Technology (OT) located on the main campus in Morgantown
  • Youth Programming
    • Assists in planning and implementing summer camps, fairs, and other events.
    • Assists in purchasing and organizing program supplies and materials

Pay Grade: 12

Qualifications
  • Business or secretarial training obtained through a post-high school program of up to eighteen (18) months plus; OR any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
  • A minimum of two (2) years of experience in the following:
    • Relevant administrative experience
    • Experience working with youth required
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
  • Knowledge, Skills, and Abilities
  • Proficient computer skills required using several applications: Microsoft Office (Word, Excel, Publisher, Access, Outlook), etc.
  • Creative design skills preferred to make promotional materials for events, clubs, etc.
  • Interpersonal skills required to interact with the public, youth, parents, volunteers, and WVUES employees.
  • Organizational skills required to manage office supplies & assist with managing programming supplies
