About the Position

The Administrative Specialist provides a variety of specialized clerical and administrative support duties for the Command staff. Tasks performed are specialized including complex and/or sensitive in nature. Employees at this level receive occasional instruction or assistance as new or unusual situations arise and may be required to interpret operating procedures and policies of the work unit to lower-level staff.

Position Qualifications

We recognize your time is valuable, so please apply if you meet the following required qualifications:

Education

  • High School Diploma or G.E.D

Experience

  • Two (2) years clerical experience

OR

Combined education and experience qualifications

  • Other combinations of education or experience may substitute for the minimum qualifications on a year for year basis.

Other requirements

  • In order to be considered for employment with the Maricopa County Sheriff's Office, successful candidates must not have a revoked or suspended driver's license.
  • Must possess a valid Arizona driver's license or have the ability to obtain by the time of hire.
  • Training that may be provided on-the-job: Safety; Payroll; PREA.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.

  • Experience in law enforcement administration preferred

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Performs the duties of a Receptionist/Office Assistant Specialized for Executive staff/Command staff at the Sheriff's Office Headquarters
  • Re-directs calls as appropriate and take adequate messages when required
  • Picks up and delivers U.S. and inter-office mail
  • Greets and assists visitors, as well as the general public
  • Composes complex and sensitive forms, letters or memorandum
  • Prepares and processes specialized paperwork
  • Maintains calendars and schedules activities
  • Provides administrative support to Command staff to include, but not limited to, entry of payroll time into ADP payroll system, final timecard reports and overtime reports
  • Implements and maintains files and databases, such as office budget, vehicle inventory, personnel lists, property inventory, personnel files, reports for Command staff; tracking/follow-up
  • Provides customer service via telephone, email, and in person
  • Provides information to public and other agencies
  • Creates and manages computer database applications
  • Compiles monthly reports/records for staff expenditures
  • Handles money deposits, bonds, fines, and various payments
  • Trains and directs the workflow of lower-level administrative staff reporting to Command staff
  • Attends meetings, take notes, generates reports, and distributes to appropriate personnel
  • Monitors the use of supplies and equipment, inventory, order, and stock supplies for staff
  • Coordinates the repair and maintenance of office equipment
  • Performs a variety of other duties, as required
  • Be present at work site to perform assigned tasks at the times and dates scheduled and/or assigned by the supervisor

SELECTION PROCEDURE:

The hiring authority will select the successful candidate based on departmental needs.

Typically, successful candidates are hired at a salary rate, up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.
