| Primary Purpose of Organizational Unit |
The School of Civic Life and Leadership (SCiLL) is the newest independent schools at the University of North Carolina at Chapel Hill. SCiLL was established to equip students with the knowledge, skills, and experiences needed to engage thoughtfully in public discourse and prepare them to become informed, responsible citizens and leaders. The School serves as a hub for the study and practice of civic life, civic leadership, democracy, and the American political experience while fostering meaningful dialogue, research, and public engagement. SCiLL is home to the Program for Public Discourse and supports a variety of campus-wide and public-facing initiatives that advance its mission of promoting civic education and constructive dialogue. |
| Position Summary |
The Executive Assistant represents the Office of the Dean for the School for Civic Life & Leadership in a professional and tactful manner. The person in this position responds appropriately to inquiries to the Dean's Office, independently researching to determine complete and accurate answers using all available resources. The incumbent serves as an agent and gatekeeper for the Dean. The position drafts and edits correspondences and prepares presentations and materials for meetings. In addition to having the sole responsibility of calendaring for the Dean, the Executive Assistant will provide support for calendar and scheduling to the Associate Dean for Faculty Development and Curriculum, ensuring effective coordination of meetings, appointments, and priorities.
The Executive Assistant works closely with the Business Officer to coordinate faculty recruitment and onboarding activities. Responsibilities include scheduling and coordinating search committee meetings, managing recruitment materials, organizing candidate interview itineraries, and coordinating travel and lodging arrangements for faculty candidates. The Executive Assistant also coordinates the onboarding of visiting scholars and provides administrative support for a variety of projects and initiatives on behalf of the Dean and departmental leadership to ensure efficient operations.
This position performs a variety of administrative and operational duties to support the department's daily functions. Responsibilities include coordinating with Information Technology to establish and maintain departmental listservs, assisting with donor stewardship activities, managing the department's shared email inbox, ordering office supplies, coordinating facilities and maintenance requests, and assisting the Dean with preparing correspondence, including thank-you notes. The Executive Assistant also provides general administrative support to ensure the efficient operation of the department. |
| Minimum Education and Experience Requirements |
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
