DESCRIPTION

The Eighth College Operations and Programs Analyst (OPA) performs a wide range of duties that require confidentiality, discretion, tact, diplomacy, sound judgment, analytical, and decision-making skills. Duties include, but are not limited to, comprehensive, high-level administrative support to the Provost as well as day-to-day operational management of Eighth College. The College Operations and Programs Analyst serves as the direct link between Eighth College and the Undergraduate Colleges Business Office (UCBO). The incumbent will have responsibility for sustaining and supporting key relationships alongside the planning and execution of select College events such as commencement, faculty seminars, and recognition events. The Eighth College OPA will provide project support to the Provost through the coordination of programs/meetings/special events that enhance interaction between the Provost, current students, parents, alumni, staff, faculty and community advisors and partners. The Operations and Programs Analyst will coordinate special projects which may include organizational research, analysis, documentation, logistics, design, correspondence, and preparation of presentation materials. The Operations and Programs Analyst should demonstrate a high degree of professionalism in a rapidly changing, dynamic-and sometimes, time-pressure-environment, with strong organizational skills and the ability to be flexible with changing demands and priorities. The OPA serves as on-site safety and facility coordinator. The position will manage a high volume of communications and information and must be able to organize, research, track, interpret, analyze, and present information in concise and appropriate formats to a wide range of audiences. The Operations and Programs Analyst is responsible for managing complex calendars with frequent changes and serves as a key representative of the Provost within the UC San Diego community and beyond. As the key staff member supporting the Provost's Office in both intellectual and administrative responsibilities of the College, the OPA serves a critical role in supporting the College's community-engaged mission, careful fiscal management, communication strategies, and coordination across complex teams of students, staff, faculty, and community partners.

QUALIFICATIONS
  • Ability to use sound judgment in responding to issues and concerns. Ability to use independent judgment and initiative, to analyze complex situations and to develop multiple choices and recommendations. Excellent problem-solving and conflict resolution skills.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Excellent interpersonal skills including tact, diplomacy, and good judgment in interactions with faculty, staff, students, families, community partners, counselors, public officials, and the media.

  • Demonstrated experience and proven ability to function at an executive administrative level including complex and confidential matters related to strategic program budget support, calendaring, community partnership, public relations, development, and community relations in a fast paced environment.

  • Proven experience with successful event planning and organization of special events. Proven skills to handle logistics from a wide variety of special events such as lectures, seminars, workshops, convocations, and commencement.

  • Solid organizational skills and ability to multi-task with demanding timeframes. Ability to handle multiple assignments and tasks; ability to establish and work with changing priorities. Ability to work with frequent interruptions. Interest and skill in establishing new systems and strategies to support a well-coordinated team.

  • Working knowledge of common organization-specific and other computer application programs. Excellent computer skills including Windows, Word, Excel, Adobe InDesign, Outlook, Powerpoint, basic HTML/website and intranet content management, and document/photo scanning/editing and archiving.

  • Ability to use discretion and maintain confidentiality.

  • Demonstrated composition skills; copyediting and proofing of high volume correspondence, marketing and collateral materials.

  • Demonstrated ability to interpret and appropriately apply regulations, policies, and procedures.

  • Demonstrated ability to work independently, set own priorities, use independent judgment and handle confidential and sensitive information.

  • Ability to evaluate various office practices and procedures. Recommend appropriate changes and develop new guidelines for implementation. This includes gathering and analyzing financial and other resource data, preparing reports or analyses of operational activities, and evaluating current and proposed projects and activities with thoughtful consideration of the College's academic focus and mission.

  • Knowledge of or ability to quickly learn higher education organizational structures, academic programs, and administrative operations. Demonstrated ability to align operational and program activities with a mission focused on community-rooted education, research, and outreach.

SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $71,806 - $110,977 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $34.39 - $53.15

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
