THE POSITION

As a Clerical Assistant 2 with the Commonwealth of Pennsylvania, you will work at the center of daily office activity and help maintain efficient operations. This role gives you the ability to make a meaningful impact by supporting leadership and employee relations staff. You will take on tasks that require focus, professionalism, and good communication. DESCRIPTION OF WORK

This position provides confidential clerical support within the District and plays an important role in maintaining organized office processes and employee relations documentation.

As a Clerical Assistant 2, you will perform the following duties:

  • Office Support: Handle daily administrative tasks that assist the District Executive and Employee Relations staff
  • Document Preparation: Draft and edit correspondence related to employee relations matters while keeping information secure
  • Backup Assistance: Provide support to the Administrative Assistant when needed
  • Program Coordination: Help with organizing and maintaining SECA program activities for the District
  • Meeting Preparation: Prepare materials and schedules for meetings and ensure information is accurate

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 8:00am to 4:00pm, Monday-Friday.
  • This is a confidential position
  • Telework: You may have the opportunity to work from home (telework) part-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Oil City. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831.00 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • One year or more experience working with confidential or sensitive information in a professional setting.
  • One year or more experience organizing detailed documentation or case files, including maintaining electronic and physical filing systems.
  • One year or more experience preparing or formatting documents in Microsoft Word and Excel as part of your regular job duties.
  • One year or more experience being responsible for taking official meeting minutes or documenting discussions for record-keeping purposes.
  • One year or more experience entering or updating information in electronic tracking systems or databases.
  • Two years or more of customer service background (answering incoming telephone calls, re-routing class as a switchboard operator or speaking with customers and/or employees that come into the office).
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):
  • Six months or more experience handling incoming calls or inquiries
    from elected officials, legislative offices, or other government representatives as
    part of your work responsibilities.
  • One year or more experience working with union contract provisions,
    such as interpreting contract language or tracking matters related to collective
    bargaining agreements.
  • One year or more experience scheduling and organizing meetings for
    managers, to include travel arrangements, organizing meals, preparing agendas,
    etc.
