Education Requirements



  • High school diploma or GED required.
  • Associate degree in Business Administration, Accounting, Office Management, or a related field preferred.
  • Basic computer proficiency and working knowledge of Microsoft Office, including Word, Excel, and Outlook.


Experience Requirements



  • Previous experience in an Administrative Assistant, Office Assistant, Customer Service Representative, Receptionist, or Office Coordinator role preferred.
  • Experience handling phone systems, scheduling appointments, data entry, and office support functions.
  • Accounting, bookkeeping, invoicing, accounts payable (AP), accounts receivable (AR), or payroll experience is a plus.

  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and accuracy.

Physical Capabilities



  • Ability to sit, stand, and work at a computer workstation for extended periods.
  • Frequent use of hands and fingers for typing, filing, and operating office equipment.
  • Ability to occasionally lift and move office supplies or files up to 20 pounds.
  • Visual ability to read documents, computer screens, and detailed reports.


Job Duties



  • Answer and direct incoming phone calls, emails, and customer inquiries while providing exceptional customer service.
  • Schedule appointments, coordinate calendars, and support daily office operations.
  • Prepare business correspondence, reports, spreadsheets, and other administrative documents.
  • Maintain accurate customer, vendor, and company records in both electronic and paper filing systems.
  • Process invoices, payments, accounts payable, and accounts receivable transactions.
  • Perform data entry and maintain accurate financial and operational records.
  • Order office supplies, track inventory, and support office organization.
  • Assist managers with special projects, reporting, and administrative tasks.
  • Ensure company procedures are followed and contribute to efficient, organized office operations.
