Overview
Our Beauty Client's Client Experience team is seeking a seasoned consultant in Resource Management, Program Management, or Digital Operations to immediately assess, design, and establish a centralized work intake and capacity management framework. Working under the Client Experience function (spanning Site Marketing, SEO, A/B Testing, and Web/Email/App Execution teams), this role will eliminate fragmented intake channels (emails, chat pings, redundant forms) and consolidate demand into a single source of truth. You will establish resourcing visibility, balance planned annual strategy against ad-hoc "side hustle" projects, define trade-off mechanisms, and leverage a builder's mindset to introduce lightweight AI and automation opportunities. Core Duties & Responsibilities
- Process & Tool Consolidation (20%): Assess current intake and delivery workflows across marketing, site execution, and tech initiatives. Audit existing inputs across Monday.com, Smartsheet, forms, and ad-hoc communications to eliminate fragmented intake channels.
- Monday.com Architecture & Intake Framework (25%): Design and configure a centralized Monday.com intake, prioritization, and portfolio tracking solution. Build functional dashboards and automated routing to capture all incoming requests in one centralized location.
- Capacity Planning & Trade-Off Modeling (25%): Develop FTE resourcing models to evaluate incoming demand against actual team capacity. Establish operational frameworks that help leadership make clear, data-driven decisions on project sizing, sequencing, and trade-offs when accepting unplanned requests.
- Governance & Partner Alignment (15%): Design and facilitate recurring governance forums (e.g., big-rocks review) with cross-functional stakeholders. Define decision rights, intake SLAs, and prioritization rules so leadership can systematically evaluate new requests.
- Change Management & Adoption (10%): Drive adoption of the new operating model across client experience teams. Provide clear documentation, communication, and training so teams can seamlessly maintain the system post-engagement.
- Lightweight AI & Automation Pilots (5%): Identify no-code/low-code workflow automations and pilot lightweight AI opportunities (e.g., smart intake agents or automated trade-off identification). Provide practical AI recommendations for future implementation.
Qualifications & Key Experience
- 7+ years of experience in Resource Management, Design Program Management (DPM), Digital Operations, PMO, or Operating Model Transformation within complex, fast-paced environments.
- 5+ years hands-on experience implementing work management frameworks, capacity planning models, and cross-functional governance processes.
- Tool Mastery: Advanced expertise configuring Monday.com (boards, automation rules, resource workloads, and executive dashboards). Working knowledge of Jira, Confluence, and Smartsheet.
- AI & Builder Mindset: Strong interest and practical understanding of lightweight AI tools, agentic workflows, and human-in-the-loop automations to streamline administrative tasks and decision-making.
- Industry Background: Retail, e-commerce, or agency background strongly preferred; experience managing resourcing in fast-moving environments subject to market trends is key.
- Education & Credentials: Bachelor's degree in Business, Operations, Technology, or equivalent practical experience. Change management certification (e.g., PROSCI) is a plus.
