Job Title: Open Rank Sends Coordinator (Level I - III)

Job Summary:

This full-time, nonexempt, position is responsible for providing specialized administrative assistance and support to ClinImmune Lab, its affiliated clients, and established patients. Responsibilities include reviewing incoming requests for accuracy and completeness, determining the appropriate action required, preparing and shipping testing supplies, assisting laboratory staff with accessioning duties, reviewing patient charts/analyzing sample history, and building/maintaining adequate in-office shipping inventory. This position will require the employee to become proficient with the established laboratory database software for everyday use in documenting all client related activities and communications. This position must be aware of and adhere to HIPAA and patient confidentiality rules and regulations. This position will be required to work with outside shipping agencies such as Federal Express and US Postal service.

Key Responsibilities:

  • Review incoming requests for accuracy and completeness, and determine the appropriate action required.

  • Prepare and ship testing supplies.

  • Assist the laboratory staff with accessioning duties.

  • Review patient charts and analyze sample history.

  • Build and maintain adequate in-office shipping inventory.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Coordinator Level I:

  • One (1) year of general clerical and/or administrative experience, which includes experience managing calendars using Outlook or other similar applications.

    • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to one (1) year.

Coordinator Level II:

  • Two (2) years of general clerical and/or administrative experience, which includes experience managing calendars using Outlook or other similar applications.

    • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years.

Coordinator Level III:

  • Three (3) years of general clerical and/or administrative experience, which includes experience managing calendars using Outlook or other similar applications.

    • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Bachelor's degree in biological sciences or a directly related field from an accredited institution.

  • Experience working in research and/or health care setting and providing administrative support to Research and/or Health Care Professionals.

  • One (1) year of inventory management which includes handling, shipping, receiving, tracking, storing, and distributing goods and materials.

  • Experience utilizing an electronic database to enter, maintain and compile data (especially related to patient charts/information).

  • Experience creating and maintaining both electronic and manual filing systems.

  • Expert knowledge/extensive use in computer software such as Microsoft Word, Excel, and Outlook.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

  • Coordinator Level I: $39,520 - $45,996

  • Coordinator Level II: $40,248 - $48,300

  • Coordinator Level III: $51,360 - $61,632

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
