Osaic has returned to the office. This position requires full-time, on-site attendance (5 days per week) at the location listed above. Applicants must be able and willing to work in the office daily at the hub listed above.

Role Type: Full-time, Non-Exempt

Salary: $40,000-$42,000 per year + annual performance-based bonus

Actual compensation offered will be determined individually, based on a number of job-related factors, including location, skills, licensure, experience, and education.

Summary:

The Operations Processing Specialist plays a critical role within Document Services, supporting the intake, processing, routing, and management of both physical and electronic documents. This individual is responsible for ensuring documents are handled accurately, securely, and in compliance with industry standards.

This role requires a highly organized and adaptable professional who can effectively manage multiple priorities in a fast-paced environment. The ideal candidate demonstrates strong attention to detail, excellent communication skills, and the ability to quickly learn internal systems and processes.

Responsibilities:


  • Process incoming and outgoing mail, including return mail, ensuring timely and accurate handling
  • Review, sort, and prepare documents for scanning, imaging, and distribution Scanning, printing and making copies of documents.
  • Manage and route documents through internal workflow and imaging systems to appropriate business units
  • Monitor and update workflows to ensure timely completion and proper document tracking
  • Support document retention, recordkeeping, and secure handling procedures
  • Participate in and contribute to special projects focused on process improvement and operational efficiency
  • Maintain accurate records in internal systems with a high level of professionalism and attention to detail
  • Communicate effectively with internal teams to resolve issues, answer inquiries, and ensure seamless processing
  • Demonstrate flexibility by shifting priorities as business needs change and assisting with high-volume workloads
  • Crosstrain across team functions and provide support as needed
  • Perform additional duties as assigned

Education Requirements:

High school diploma or equivalent is required

Basic Requirements:


  • 2-3 years relatable or transferable work experience; financial services experience preferred
  • Proven ability to work in a fast-paced environment with accuracy and efficiency
  • Strong organizational skills with the ability to multi-task and manage competing priorities
  • Proficient in Microsoft Office (Excel, Word, Outlook, Teams, etc.)
  • Demonstrated ability to learn quickly and adapt to new systems and processes: NetX360, Wealthscape, Front-End Imaging (FEI), Salesforce (contact management and imaging workflow systems), eQuipt and other assigned back-office functions.
  • Detail-oriented with strong problem-solving and critical thinking skills
  • Excellent written and verbal communication skills
  • Must be team-oriented and client-focused.
  • Ability to work overtime, including weekends as needed to support heavy work volume when applicable.
  • Must demonstrate a high level of professionalism, accountability, and reliability
  • Strong team orientation with a commitment to delivering high-quality service

Preferred Requirements:

  • 2+ years' experience in financial services operations or broker-dealer setting
  • Familiarity with workflow, imaging, or document management systems
  • FINRA Series 7 License a plus
