Position Close Date: 10/27/2026

Volunteers of America Oregon is seeking a detail-oriented, resourceful, and collaborative Grants Coordinator to join our Development team. This position plays an important role in securing and sustaining funding for programs that support individuals, families, and communities across Oregon.

The Grants Coordinator supports the full lifecycle of government, foundation, and corporate grants, from researching funding opportunities and preparing proposals to coordinating reporting requirements and maintaining accurate grant records. This role is ideal for someone who enjoys writing, organizing complex projects, working across departments, and helping translate meaningful program outcomes into compelling funding proposals.

The Opportunity

As Grants Coordinator, you'll work closely with the Grants Manager, program leaders, Finance, and the broader Development team to help secure and maintain the funding that makes VOA Oregon's services possible.

You'll contribute to grant proposals, coordinate application materials, track deadlines and reporting requirements, and help ensure funders receive accurate and timely information about the impact of their investments. You'll also support donor stewardship activities and assist with organizing and distributing in-kind donations that benefit the individuals and families served by our programs.

This is an opportunity to combine strong writing and organizational skills with meaningful, mission-driven work while contributing to the financial sustainability of programs that make a difference in our community.

What You'll Do

  • Research government, foundation, and corporate funding opportunities that align with VOA Oregon's programs and organizational priorities.

  • Draft and coordinate grant and/or contract proposals, application narratives, supporting documents, and other materials needed for complete and timely submissions.

  • Work with program leaders, Finance, and Development staff to gather program information, budgets, outcomes, and supporting documentation for proposals and reports.

  • Coordinate internal review and approval processes for grant proposals, budgets, and award documents.

  • Track grant deadlines, post-award requirements, reporting obligations, and deliverables, communicating upcoming deadlines and potential concerns to appropriate staff.

  • Support grant reporting by collecting and organizing quantitative and qualitative information that demonstrates program outcomes and organizational impact.

  • Maintain accurate grant records, funding information, and supporting documentation in Raiser's Edge NXT or comparable fundraising and grant management systems.

  • Assist with funder engagement and stewardship activities, including coordinating site visits, scheduling meetings, preparing correspondence, and maintaining relationship records.

  • Collaborate with colleagues across departments to support grant readiness, respond to information requests, and improve coordination of grant-related activities.

What You'll Bring

We're looking for someone who combines strong writing and organizational skills with curiosity, attention to detail, and a collaborative approach to problem-solving.

Successful candidates will demonstrate:

  • An understanding of grant development, nonprofit fundraising, and the requirements associated with government, foundation, and corporate funding.

  • Strong writing and editing skills, with the ability to develop clear, accurate, and compelling proposals/, narratives, reports, and correspondence.

  • The ability to gather and synthesize program information, data, and outcomes into meaningful narratives that communicate organizational impact.

  • Strong organizational and project coordination skills, including the ability to manage competing deadlines, track deliverables, and follow through on outstanding requests.

  • The ability to review grant budgets and supporting financial information, recognize inconsistencies, and seek clarification when needed.

  • Proficiency with Microsoft Office applications, particularly Word and Excel, and comfort learning fundraising databases, grant management systems, and electronic submission portals.

  • Strong interpersonal and communication skills, including the ability to build productive working relationships with colleagues, funders, and community partners.

  • Sound judgment, professionalism, attention to detail, and a commitment to maintaining confidentiality and accurate records.

  • The ability to work independently and collaboratively, adapt to changing priorities, and recognize when additional guidance or approval is needed.

Qualifications

  • Bachelor's degree in nonprofit management, public administration, business administration, communications, or a related field, or an equivalent combination of education and professional experience.

  • Minimum of two years of experience in nonprofit fundraising, grant coordination, or grants management.

  • Experience writing, preparing, and formatting grant proposals, supporting documents, and required forms for submission through funder portals.

  • Experience coordinating schedules, meetings, and deadlines associated with grant proposals, reporting, or related projects.

  • Experience with Raiser's Edge NXT or another fundraising database is preferred.

  • Must successfully complete required pre-employment screenings and meet applicable eligibility requirements.
