Job Summary

The Administrative Assistant III - plays a critical role in maintaining the accuracy and integrity of patient medical records. This position is primarily responsible for reviewing and analyzing patient records to identify and resolve duplicate medical records, ensuring each patient has a unique identifier within the electronic health record (EHR) system. This role requires meticulous attention to detail, strong analytical skills, and a thorough understanding of patient identification procedures.

Essential Duties and Responsibilities:

  • Duplicate Record Identification: Proactively reviews patient records within the EHR system, utilizing various search criteria and tools to identify potential duplicate records.
  • Analysis and Verification: Carefully analyzes patient demographics, medical history, and other relevant information to determine the validity of potential duplicate records.
  • Record Consolidation: Collaborates with clinical and administrative staff to consolidate duplicate patient records, ensuring all information is accurately merged under a single record.
  • Data Integrity: Maintains the highest level of data integrity by adhering to established policies and procedures for patient identification and record maintenance.
  • Error Resolution: Investigates and resolves discrepancies in patient information, working with other departments as needed.
  • Documentation: Accurately documents all actions taken regarding duplicate records, including the analysis performed, the resolution implemented, and any communication with other staff.
  • Compliance: Adheres to all HIPAA regulations and privacy policies related to patient information.
  • Communication: Communicates effectively with other staff members, including clinicians, nurses, and administrative personnel, to ensure accurate patient identification.
  • Process Improvement: Participates in process improvement initiatives related to patient record integrity and duplicate record prevention.
  • Other Duties: Performs other related duties as assigned.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Required Qualifications

1. Medical Terminology course of study
2. High school graduation
3. General PC knowledge
4. Aptitude for technical perception and analysis of information in different systems
5. Excellent interpersonal communication skills.

Preferred Qualifications

1. One year of HIMS (Medical Records) experience in a hospital setting.
2. Database knowledge and experience.
