Tax Administrative Assistant

Job Summary: Work with tax Lead Office Administrator, partners and members of the tax team to provide support in day-to-day operations of various clerical and administrative duties. Core job duties will include but not limited to:

  • Actively live out and promote the firm's core values HT3 and service standards.
  • Responsible for transmission of e-file returns and status of returns, including communication on stale and/or outstanding returns
  • Prepare extensions, as requested
  • Assist assigned Partners and Managers in various administrative duties
  • Update firms management system (Practice Engine) for projects, clients, rollovers, and to close and open all jobs
  • Log and maintain offsite files
  • Prepare client letters and correspondence as instructed by staff, managers and partners
  • Fill in as backup and serve in the rotation for the front desk switchboard
  • Prepare informational reports as requested
  • Assist with scheduling tax CPE training events and requests and tracking the tax CPE budget
  • Assist with preparation of various reports and presentations
  • Process expense reports for partners as requested
  • Assist with special projects as assigned

QUALIFICATIONS:

  • High school diploma required
  • Minimum of three (3) years' experience in an administrative role required. Prefer previous experience in a professional services organization.
  • Excellent working knowledge of Microsoft Word, including tables and graphs
  • Proficient in the use of Microsoft Outlook, Microsoft Excel, Adobe and other software applications
  • Excellent spelling, organizational and analytical skills required
  • Experience in a paperless accounting software preferred
  • Excellent verbal and written communication skills
  • Ability to meet strict deadlines
  • Strong attitude of professionalism and teamwork

PHYSICAL DEMANDS:

While performing the duties of this job the employee will regularly be required to sit, stand, reach, walk, drive, kneel, crouch, crawl and lift and/or move up to 20 lbs.
