Primary Function of Organizational Unit
The Division of Extended Studies is a unit within the Academic Affairs division and is responsible for the administrative oversight of the distance, online, and continuing education initiatives at NCCU. Extended Studies provides support and resources to faculty and staff for the development, delivery, and assessment of online courses and programs.
Primary Purpose of Position
The Academic Advising Specialist will support the admissions, advising, and student success coach by performing a variety of administrative tasks that facilitate the smooth operation of the activities and communication between NCCU and PKH teams. The specialist will help create/manage student degree plans, reporting requests, liaise between departments for program course transfers, provide general information to students as needed, audit final degree plans for accuracy and assist with the coordination of ensuring communication and updates and distributed across departments appropriately. This role will assist in the creation of Transfer Credit Evaluations for new online undergraduate students, and act as a liaison with the academic departments and the PKH success coach team.
Required Knowledge, Skills, and Abilities

Minimum Education/Experience
Bachelor's degree required. Master's degree preferred. 2-3 years of advising experience and working with adult learners. Previous experience in admissions, transfer and/or advising services within a higher education institution is highly desirable. Knowledge of academic advising processes and university policies on transfer credit evaluation. Familiarity with data management and reporting tools.

Primary Responsibilities and Duties


Function Administrative
Describe the specific tasks and responsibilities related to the function.


  • Advising: Manage questions or appeals from students and act as an escalation point for students and/or Project Kitty Hawk teams for issues that need NCCU internal review and approval; provide one on one advising session and/or group advising sessions; seek resolutions to students questions and concerns, assist and communicate solutions to the students, PKH and DE teams; contribute to the Standard Operation Procedures manual; contribute to the FAQs document.




Function Administrative
Describe the specific tasks and responsibilities related to the function.


  • Degree planning: Assist in the creation and management of student degree plans and Transfer credit evaluation process for new students admitted into the Project Kitty Hawk undergraduate online degree programs on an 8 week admission cycle; seek & obtain approval of course substitutions and course approval from the academic departments; enter transfer credits in the student information systems; assist in updating and ensuring degree audits are accurate in DegreeWorks and work with the University Registrar in ensuring audits are correct.




Function Client/Customer Service
Describe the specific tasks and responsibilities related to the function.


  • Student Interaction: Serve as tier 2 level contact for students seeking questions on specific degree plan and credit transfer questions. Answer general inquiries, redirect students to the appropriate contact or resources, and provide information on NCCU academic policies and procedures.




Function Data/Information/Records Management
Describe the specific tasks and responsibilities related to the function.


  • Data Management: Assist in the maintenance of student databases and records, ensuring data accuracy and confidentiality in compliance with university policies and FERPA regulations.




Function Administrative
Describe the specific tasks and responsibilities related to the function.


  • Special Projects: Assist with special projects and initiatives as assigned by their supervisor. Attend weekly standing PKH, committee meetings and staff meetings.
